Job Description:

This position supports all functions and personnel in the Emory at Grady Dean’s Office.

Reports to the Associate Dean, Clinical Planning and Finance, with dotted line reporting to Executive Associate Dean for Clinical Services, Grady

Database Management:

  • Maintain Emory at Grady personnel inventory:

  • Primary role in personnel and space inventory project [Summer 2017]

  • Routine (monthly) coordination with finance, clinical departments and facilities manager for updates

Using personnel inventory:

  • Create & maintain various Emory at Grady listservs by categories developed through the use of metadata collected during inventory

  • Update digital directories

  • Extract and manipulate data as needed for analysis

Quality/Performance Improvement:

  • Work with Medical Director, Quality & Performance Improvement, Chiefs of Service and Emory at Grady business managers to create annual database for quality metrics

  • Maintain/update database as needed


  • Write/publish monthly Emory at Grady newsletter

  • Write/publish “week at a glance” message to Grady based constituents

  • Write/distribute periodic messages as needed

  • Coordinate, as needed with SOM Communications Director re: external communications

  • Upload information to digital signs as needed

  • Refresh new employee packet (bi-annually)

  • Routinely distributes other information as needed (e.g. departmental dashboards)

  • Assist with preparation/formatting of presentation materials

  • Maintain central repository of common forms for use by Emory at Grady business managers, etc. Ensure they are current and post (Box) as needed

Calendar and Events:

  • Schedule group meetings for E@G Dean’s Office (e.g. periodic meetings with departments, Scope of Service meetings with Grady, and maintain Master Calendar)

  • Point of contact for Emory at Grady campus-wide event planning (e.g. monthly leadership meeting, annual retreats, Doctors’ Day, Dean’s annual address)

  • Coordinate with Office Manager re: logistics, food & beverages as needed

  • Create and distribute meeting agendas

May be assigned other projects as required by Emory at Grady Dean’s office staff


  • Manages a project.

  • Coordinates the strategic planning process and monitors progress toward achieving project goals.

  • Assists in developing, administering and monitoring project related budgets.

  • Coordinates logistical arrangements for related conferences, conventions or meetings.

  • May assist in identifying funding resources and in developing funding strategies and initiatives.

  • Develops and generates various operational and statistical reports.

  • Represents and promotes the project at various speaking engagements.

  • May write grants, reports, briefings, newsletters, promotional or other written material related to the project.

  • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS: A bachelor's degree in a related field and 3 years of related project management experience, or an equivalent combination of experience, education and training.
