KEY RESPONSIBILITIES:

  • Leads and supports program(s), including developing tools, resources and timelines as needed to ensure program success.

  • Develops and conducts surveys and assessments to identify program needs and gaps, and makes recommendations to management for improvements.

  • Advises management on issues and matters of significance related to current program success and future initiatives.

  • Establishes schedules, oversees arrangements, and provides logistics support for events, conferences, meetings, seminars, and other venues as requested.

  • Gathers and coordinates dissemination of information regarding new or revised policies and procedures, responds to inquiries regarding departmental policies and procedures and makes referrals when appropriate.

  • May manage projects related to student progress, enrollment, registration, and recruitment.

  • May manage various databases and budgets.

  • May serve as liaison and facilitator among program faculty, students, and administration to resolve registration, admissions, and other program-related concerns.

  • May represent the program(s) at recruitment events, conferences, meetings, seminars, and other events.

  • May be required to present and speak on behalf of the program(s).

  • Performs other related duties as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree and two years of experience working with academic programs or a related field, OR an equivalent combination of education, training, and experience.

ADDITIONAL JOB DETAILS:

The position of Academic Programs Associate for OUE Accommodated Testing Services manages the administration of proctored exams for students in ECAS courses with accommodations through the Department of Accessibility Services (DAS). This critical full-time position is housed in the Office for Undergraduate Education within Emory College of Arts and Sciences.

The Academic Programs Associate may:

  • Serve as the primary contact for Accommodated Testing Services in Emory College of Arts and Sciences; monitor testing email account, respond to incoming requests and questions; assess and improve processes; oversee the day-to-day execution of the service

  • Supervise accommodated testing process from start to finish, including scheduling, preparing exam packets, and returning exams to instructors, which may include supervising a Graduate Assistant and Graduate Student Proctors

  • Manage various forms and databases. Review form(s) submission and enter accurate info in the appropriate database. Keep organized, accurate date, pull data report after every semester and make recommendations based on data trends. Create accommodated testing schedule each semester based on student and faculty need, space constraints, and staffing needs.

  • Establish schedules, oversee arrangements, and provide logistics support for daily exam sessions through the semester and beyond

  • Manage communication with faculty and students via forms, website, and email, ensuring timely and accurate dissemination of information.

  • Ensure testing environment suitable for students with accommodations and conducive of maintaining academic integrity;

  • Ensure accuracy, proper handling of sensitive materials, and confidentiality about student accommodations and exams

  • Develop promotional materials and training manuals

  • Annual reporting and assessment; other data projects

  • Interview and hire graduate student proctors as needed; ensure scheduling needs are met each semester

  • Develop training resources for proctors, which may include recording training videos, in-person training, and building/maintaining Canvas site for proctors

  • Collaborate with other programs and offices such as Summer and Online programs and the Department of Accessibility Services

  • Build relationships with faculty and other constituents such as the Department of Accessibility Service

  • May provide on-site support for proctors in need of assistance

  • May work some evening hours
