JOB DESCRIPTION: The Associate Director, Recreation & Wellness Programs supports the Director in the strategic development, administration, implementation, and evaluation of a comprehensive recreation and wellness program, including group fitness, personal training, wellness, outdoor recreation, summer camp, intramurals and a competitive club sport program. Directly supervises the Assistant Director for Fitness & Wellness, the Intramural & Club Sports Coordinator, and the future Outdoor Recreation Coordinator. Oversees the Emory Sports Fitness Camp during the summer months. Serves as a member of the Recreation & Wellness Leadership Team and directly reports to the Director of Recreation & Wellness. Maintains equal programmatic responsibilities at both the George W. Woodruff Physical Education Center (WPEC) and the Student Activity and Academic Center (SAAC) recreational facilities. Responsibilities include a wide variety of administrative and supervisory duties including, but not limited to, personnel management, fiscal management, strategic planning, assessment, professional and student development, risk management, facility management, marketing/promotions, rules and policy development. Performs other duties as required.

MINIMUM QUALIFICATIONS: A bachelor's degree in Sport Management, Exercise Science, Health Promotion, Recreation/Leisure Administration, Education or related field, and five years of experience in collegiate recreational sports with progressive responsibilities. A minimum of three years of supervisory experience is required. CPR, First Aid and AED certifications required.

Job Functions and Responsibilities:

PROGRAM MANAGEMENT & ADMINISTRATION (40%)

  • Provides leadership to support the Director with overall management of the department to include; budget management, facility planning/design, strategic planning, assessment, risk management, personnel management, and implementation of programs designed for the recreational needs of the campus community. Maintains records and prepares reports on program areas including statistical reports, injury reports, evaluations, participation surveys, and program manuals.

  • Direct the development, administration and evaluation of Intramural, Club Sports, Fitness, Wellness, Outdoor Recreation and Summer Camp programs. This includes, but is not limited to, program administration, strategic planning, policy development, scheduling, staff training, assessment, risk management, special events, budget oversight, marketing and equipment management.

  • Serves as primary leader for department for student staff development program. This includes evaluating current program, developing new initiatives, and planning and organizing semester kick-off events and programs.

  • Aid in departmental evaluation and assessment by working with direct reports to develop short-term and long-term goals with a formal assessment process. Attain pertinent program evaluation and assessment data regarding customer satisfaction and participant & student staff learning experiences for regular analysis and annual reporting. Maintain statistical data for all programs within areas of responsibility.

  • Works with the Intramural & Club Sport Coordinator to provide direction, guidance, and training to all club sports officers, coaches and advisors to ensure compliance with all departmental and university rules and regulations, fostering leadership/personal development, well-being and sound financial management.

  • Advises the Club Sport Council and individual teams with budgeting, fiscal forecasting, traveling, goal setting, recruiting and marketing.

  • Coordinate daily practice and game schedules, travel procedures and requirements, facility reservations & membership policies of the Club Sport program.

  • Ensure maintenance of the website, membership database, and online forms required by the University.

  • Initially serve as the co-Director of the Emory Sports Fitness Camp.

  • Assist in the grant solicitation process for department including identification of appropriate grants, research, writing, review, submission, approval, contract negotiation, tracking, and reporting of grant applications.

  • Ensure accurate registration, payment, and participation records are maintained.

  • Collaborate with campus partners to increase awareness in an effort to build a sense of community around Recreation & Wellness programs. Liaise with other Campus entities in regards to student conduct, marketing, events, etc.

  • Maintain current knowledge of recreation and wellness trends and related challenges within Higher Education.

  • Serve as a department ranking staff member on duty for recreational programs; which includes, but is not limited to, serving as a first responder for emergency situations and providing emergency care, providing customer service, resolving conflicts and making decisions and judgments regarding program and facility usage.

  • Serve in an on-call function to support athletic and recreation facilities and programs.

  • Must be willing to work a flexible schedule including nights and weekends when necessary.

  • Additional duties as assigned.

FINANCIAL MANAGEMENT (20%)

  • Ensure that program budgets are in compliance within University and Department guidelines, policy and procedures. Maintains records of program participation, revenue generation, and expenditures. Consistently monitor all revenue and expense budgets pertaining to the Intramural & Club Sports area.

  • Aid Director in preparing and monitoring annual budget for all Recreation & Wellness programs.

  • Monitor and maintains records of all capital equipment including: verifying insurance coverage as required, verifying vehicle inventory and coordinate equipment purchases/replacements.

  • Oversee and audit all payroll procedures for club coaches and student employees.

PROFESSIONAL AND STUDENT STAFFING & DEVELOPMENT (20%)

  • Supervise, evaluate, and mentor the Intramural & Club Sports Coordinator, Assistant Director for Fitness & Wellness and the future Outdoor Recreation Coordinator.

  • Work with the Intramural & Club Sports Coordinator to recruit, hire, train, supervise, evaluate and mentor part-time club sport coaches and 70+ student staff annually.

  • Organize and conduct student and professional development meetings and training sessions each semester and as needed.

  • Present an atmosphere of out-of-classroom learning for student employees and participants. Focus on the development of student leadership, customer service, decision making, and communication.

  • Provide leadership and guidance to club sport coaches, participants and student staff, promoting teamwork and responsibility.

  • Maintain files documenting performance, training, timekeeping and certifications as required.

RISK MANAGEMENT (10%)

  • Develop, evaluate and implement comprehensive risk management policies, procedures and guidelines for Recreation & Wellness programs.

  • Works directly with Intramural & Club Sports Coordinator and Emory Healthcare to ensure Athletic Training coverage for club sport practices and events as needed.

  • Ensure risk management guidelines are in line with industry standards, departmental plans and the University's risk management policies and procedures.

  • Instruct CPR/AED/First Aid courses for internal student and professional staff to ensure policy compliance.

OUTREACH (5%)

  • Active membership in a variety of on-campus, divisional and local committees, including the National Intramural-Recreational Sports Association (NIRSA). Serve on at least one committee, project team, or program within the Division of Campus Life and/or the University Community.

  • Publication in professional journals, conference presentations and/or representation in other Higher Education associations.

  • Promote and travel to extramural and club sport tournaments to foster student development, develop relationships with alumni, serve on committees and supervise student participants and officials.

  • Responsible for development of program specific alumni relations and fundraising events. Seek external partnerships and sponsors to enhance the intramural and club sports programs. In conjunction with Development, advises clubs in the fundraising and organizes the solicitation of donations.

  • Work with staff, local businesses, and camp counselors to develop a summer day camp program consistent with the needs and interests of the Emory community.

  • Serve as the co-Director of the Emory Sports Fitness Camp which includes, but is not limited to, recruitment and hiring of camp counselors, staff, and volunteers; training of camp counselors and support staff; researching grant opportunities, funding applications, and coordinating grant compliance; evaluation of camp counselors; developing effective written programs and learning outcomes of the camp’s daily activities; and record keeping and assessment of the overall program.

  • Attend all staff, department and division meetings as required.

FACILITY MANAGEMENT (5%)

  • Manage facilities by inspecting Intramural & Club Sports facilities regularly, maintaining a record of storage areas and key holders.

  • Assist with informal recreation operations and drop in recreation patrons.

  • Liaison to Athletics and Recreation Facilities & Operations staff and Emory Facilities Management. Must be able to develop cooperative relationships in order to secure space and ensure proper maintenance and use of Competitive Sport spaces.
