JOB DESCRIPTION:
The Associate Director, Contracts will provide comprehensive oversight and leadership to the Campus Services contract team for all facilities and construction contracts, agreements, and vendor management.
Plans, directs, and monitors the day to day operations of the department and staff, escalating issues to the Senior Director of Finance as appropriate.
Strategically guides and leads staff in contract negotiations for services provided throughout Emory University.
Develops and implements strategic goals and objectives to increase efficiency, improvements, on market share and improve financial standing and viability of Emory University Campus Services through successful contracts.
Educates and advises leadership on impact.
Manages and assures successful completion of annual business plan objectives.
Provides detailed transparency and leadership to all Campus Services contracts and agreements, many of which are highly complex and of critical importance to the mission of Emory University, and all issues and policies relating to such agreements.
Reviews written and oral comments pertaining to agreements and contracts.
Makes decisions based on the interpretation and application of complex contract language and institutional policies.
Represents Campus Services as needed with outside contractors, and communicates and negotiates with these outside entities regarding both high-level contract issues and specific revisions.
Oversees coordination and tracking of contracts through the approval process, shouldering primary responsibility for development of supporting procedures and systems.
Collaborates intensively with internal customers throughout the department and elsewhere at Emory as well as with legal counsel in resolving contract-related issues.
Researches complex relationships and transactions.
Develops and maintains databases with information regarding all past, current, and pending contracts.
Responds to requests for contract-related information.
Exercises significant independent initiative to continuously evaluate and enhance established processes and policies.
Conducts training as needed.
Designs, implements, and updates periodic operational and statistical reports.
Develops and maintains appropriate written procedures and related resources (such as checklists, routing sheets, and contract templates) for contract processing that are consistent with internal and external best practices.
Ensures that required records and documents are maintained in a secure and confidential manner.
Independently reviews faculty and staff outside relationships, identifies issues that are relevant to the faculty commitment to the University, and researches and analyzes conflict of interest issues.
Reviews management plans prepared by the Conflict of Interest Committee and works with faculty on implementation of these plans.
Provides expertise for resolution of issues and communicates effectively with operational subject matter experts regarding such matters.
Interacts with leaders and administrators in Emory's Strategic Procurement Office, the Office of the General Counsel, and other University and School entities.
May represent the department on Emory University committees and takes a leadership positions within such groups.
Represents Campus Services at internal and external meetings and conferences. Will supervise contract staff.
Manages special projects, as assigned.
Performs related responsibilities as required.
Has knowledge of contracts process, policies, and knowledge of diverse spend programs and efficient procedures.
Familiar with technical writing and various softwares that can aid in proper vendor management.
Performs other related duties as required.
MINIMUM QUALIFICATIONS: A bachelor's degree in business, finance, or related field, and five years of large scale contracts experience, OR an equivalent combination of education, training, and experience. Preferred experience includes specific experience with contracts, negotiations, and vendor management for Operations and Maintenance, and facility services Must be self-directed and work with considerable autonomy in all functions and be able to lead and influence in a professional, and effective manner.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department of work. Emory reserves the right to change remote work status with notice to employee.
