This position contributes to the mission and vision of Department of Pediatrics by assuring physicians are properly credentialed and privileged to care for patients across Emory Healthcare, Children’s Healthcare of Atlanta and the Grady Health System. The overall function and responsibility of this position is to ensure the continuous and accurate credentialing and initial privileging of physicians, maintaining a centralized credentials file for all Department of Pediatrics providers with accurate and current documentation, reappointment of providers every two years, and communicating and coordinating with appropriate clinic personnel to achieve this. Discretion is required at all times in sensitive and confidential matters.
This position also provides comprehensive administrative assistance in support of the human resources (HR) team for Department of Pediatrics in the School of Medicine (SOM). This position performs defined transactional activities for the assigned departments and divisions such as employee onboarding and VISA processing. This position is an integral member of the Department of Pediatrics Human Resources team, and this will be a great opportunity to gain exposure and experience in all aspects of the HR function.
Credentialing Responsibilities:
Facilitate the clinical privileging process.
Coordinate all new provider credentialing and provides oversight with the privileging process to ensure all necessary documentation is available to grant billing and hospital privileges.
Identify, investigate, and assist in resolving potential credentialing issues.
Maintain accurate, current, and centralized credential files.
Oversees all reappointments for Department of Pediatrics providers based on regulatory time and content requirements.
Monitor new faculty and fellow credentialing process and notify department. management staff of issues that may cause delays for candidate hire dates.
Secure proof of state licensure and DEA certifications as needed.
Human Resources Responsibilities:
Provide administrative support for Department of Pediatrics HR team.
Responsible for visa processing for new employees.
Assist with new faculty and fellow onboarding.
Schedule/track pre-employment health assessments for new faculty and fellows.
Draft, send and manage correspondence/communications with new faculty and fellows.
Advise or refer individuals to appropriate staff for guidance on human resources and visa policies and procedures.
Maintain databases, and personnel records and files.
Perform related responsibilities as directed such as processing pay requests and salary changes.
Submit/process sign-on bonuses and relocation reimbursements for approval.
Assist Pediatrics HR team with projects and day-to-day operations.
JOB DESCRIPTION:
Provides comprehensive administrative assistance in support of the human resources (HR) operation for assigned department(s) in the School of Medicine (SOM).
Performs defined transactional activities for the assigned departments and divisions such as employee onboarding and orientation, and timekeeping.
Processes new hire and applicant tracking paperwork.
Responsible for the review and accuracy of submitted documents such as the USCIS' Form I-9.
Processes required payroll paperwork as needed.
Provides assistance to managers and supervisors on matters such as employee leave tracking and timekeeping.
Reviews and obtains approval of time and attendance documents, processes reimbursements and special checks, and maintains associated supporting documentation for the same.
Composes, generates, proofreads, and disseminates communications and reports.
Advises or refers individuals to appropriate staff for guidance on human resources policies, procedures, and related topics.
May support Employee Relations inquiries, and Workers' Compensation and FMLA requests, by gathering supporting documentation or relevant evidence.
Maintains databases, and personnel records and files.
May assist leadership with budget preparation and by monitoring expenditures by related departments and divisions.
Performs related responsibilities as directed.
MINIMUM QUALIFICATIONS:
Two years of college coursework and three years of general office administration experience or human resources experience in a support role as a generalist or in one of many human resources fields such as employment, employee relations, compensation, and/or benefits administration.
An equivalent combination of education and experience may be considered.
Exceptional verbal, written, and communication skills required.
Experience in an academic healthcare center desired.
PREFERRED QUALIFICATIONS:
Previous experience with physician practice or healthcare credentialing.
Previous experience with visa processing is a plus.
Ability to prioritize and manage a variety of tasks and meet deadlines.
Superior attention to detail and problem-solving skills.
Superior customer service and new hire experience approach.
Ability to interface with a diverse mix of people, including leadership, and handle difficult situations.
Experience in a collegiate-level academic environment is highly preferred.
Ideal candidate will have worked with physician groups previously.
General knowledge of accreditation standards, state and federal regulations and applicable medical/legal issues preferred but not required.
Must be proficient in Microsoft Office (Outlook, Word and Excel) and have experience with word processing and database management computer applications.
Experience working with credentialing software is a plus.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
