JOB SUMMARY:

Coordinates department and office operations with an emphasis in strategic budgetary management. Develops administrative goals and priorities. Helps manage the physical HR facilities, building and environment of HR staff. Participates in the resolution of operating problems. Focuses on Operations, Analysis and Financial tasks. OPERATIONS: Oversees the ordering of equipment and supplies for staff. Leads meetings addressing specific operational issues and develops recommendations and action plans towards their resolution. Brings issues, complaints, and reports to management in a timely basis. Provides adequate details to the cause and documents those in writing. Attends meetings and documents the proceedings; may facilitate the meeting organization. Provides notes to the meeting participants, documenting any follow ups, action items or assignments. ANALYSIS: Runs reports from IS, Finance, and any other source to accumulate raw data. Documents where the information sources, steps taken to access the information, and defines standard and secure data repositories for the file storage to support further analysis and results reporting. Creates and reports on metrics or KPIs assigned. FINANCIAL: Create reports and track expenses against capital purchases. Assists in tracking of operational expenses and aligning to appropriate budget. Determines and recommends options for addressing budget issues for department staff and facilities operations. Prepare documentation, gather contracts, invoices, and maintenance renewals that may include total costs, volumes, and information from the HR personnel. Resolve routine issues around invoicing, billing, or purchasing. Understand all relevant HR vendors and what services they provided to Emory. Document any changes in contact changes from the vendor and Emory's business unit. Escalate any issues to manager that may need follow-up. Enter in budgeting documentation into one or more repositories' and keep those records up to date. Send out financial reports and information to the business, HR staff and management as instructed. Acquire the necessary information on question, concerns and issues and present to the manager. Produce reporting metrics against the planned budget. Track individual contract and maintenance items against the budget. Log in discrepancies and discuss with management in real-time for evaluation. Analyzes data to identify areas of progress or trends; draws conclusions and develops recommendations for management consideration. Keeps manager informed of account status, authorizes expenditures, and identifies cost effective alternatives. Provide details on observed budget discrepancies or deviations to established policies and procedures to management.

MINIMUM QUALIFICATIONS:

  • Bachelors degree in Business or related field required. Three years of professional experience in consulting, human resources, business or in a related field.

  • Candidates with a graduate degree may only require one year of work experience to qualify.

  • Experience in performing data analysis and Microsoft Access.

  • Ability to function independently with a high level of autonomy and discretion.

  • Advanced Microsoft Office skills.

  • Ability to clearly and concisely present information of a complex nature.

  • Ability to develop and foster key business relationships with leaders.
