The Program Coordinator (ETS) primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans..

KEY RESPONSIBILITIES:

  • Administrative responsibilities including but not limited to, assisting with event and project research, document review, maintenance of organizational documents, email correspondence

  • Assisting with meeting scheduling, space assessment, using 25 Live, drafting event flyer invitations

  • Provide support to Sr. Financial Analyst with accounting tasks and reconciliation duties including travel expense reports

  • Serve as an office coordinator, ensuring common areas are maintained, stocked, and meeting space technology point of contact

  • Ordering office supplies, conducting routing inventories, management of asset sign-out process

  • Project management support for programs and events: may include catering orders, requesting meeting materials and submitting event-related technology requests as needed, ensuring all necessary materials and supplies are ready and organized.

  • Liaison for facilities and maintenance requests

  • Available to provide cross-department support for all departments within Pathways Center with administrative, clerical, and special event tasks as needed

  • May assist lead staff with projects related to promotional and marketing materials

  • May assist with supervising student workers

  • Supports operations team leadership to ensure office activities comply with Emory policies and procedures

  • Assist with new hire onboarding tasks for incoming Pathways Center hires

  • May assist with vendor communications to collect financial documentation, invoices, receipts etc.

  • Supports Pathways special events which will include occasional evening and off-site job duties

  • Using Emory systems including Slate, Handshake, Canvas and OPUS to assist with student programming

  • Supports team with coordinating complex travel arrangements

  • Assists with maintenance of shared drive and organized filing systems

  • Provide hands-on support for event setup, including logistics support, vendor engagement, supply and equipment requests, marketing requirements, and other essentials.

  • Coordinate with Pathways marketing lead to ensure adequate event signage including but not limited to ordering, inventorying, creating various check in registration, assessment forms and other documentation/signage as needed.

  • Assist with coordination of inventory control for event-related materials and equipment.

  • Implement project management principles for the maintenance and cleanliness of linens and materials used during events, including transportation to and from dry cleaners when needed.

  • Offer specialized project management support for signature events, adapting to unique project requirements and responsibilities as necessary.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program and two years of related experience, or an equivalent combination of education, training and experience.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree and at least 5 years’ experience in administrative work involving program/project management.  Demonstrated organizational ability, attention to detail, and talent for multi-tasking. 

  • Excellent interpersonal skills and experience working with a variety of constituents.  Strong computer skills including fluency with Microsoft Office suite.

  • Experience with Slate, Terra Dotta, and PeopleSoft (including Compass Financial systems and OPUS) a plus.  

NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
