JOB DESCRIPTION:

  • Primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following:

  • establishing long-term operational objectives

  • researching factors that may impact the success of the program

  • working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.

  • Conducts research and gathers information to develop various publications.

  • Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.

  • Assists in developing and coordinating program-related conferences, conventions, or meetings.

  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.

  • May assist in identifying funding resources and developing fund-raising strategies and initiatives. Prepares operational and statistical reports.

  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups.

  • May supervise assigned project staff, interns and/or volunteers.

  • Performs related responsibilities as required.

  • This is not an administrative support position.

KEY RESPONSIBILITIES:

Credentialing and Onboarding

  • Assists with coordination of the physician and advanced practice provider credentialing process.

  • Coordinates Sponsorships for Locum Tenens and Advanced Practice Providers

  • Coordinates Provider Onboarding (Parking, Badges, Bldg. Access, Lab Coats, Pagers)

  • Manages Pager Assignments/Changes

Financial Transactions

  • Handles routine administrative and fiscal activities on behalf of the service.

  • Processing of expense reports and tracking of Continuous Medical Education (CME) Expenses

  • Initiates, processes, and maintains records and invoices.

  • Develops and maintains spreadsheets.

  • Prepares charts and graphs for reports and presentations.

  • Oversees ordering and maintenance of office supplies and forms.

  • Entering extra duty payments into PeopleSoft HR Payment Request system.

Office Coordination

  • Ensures manager is appropriately prepared for daily activities

  • Maintains calendar, prepares daily schedule, and prioritizes meeting requests for manager(s).

  • Screens items that can be routinely handled and prepare appropriate responses.

  • Provide back-up for Administrative Assistant duties when necessary.

  • Coordinates, attends, prepares materials for and/or takes minutes at meetings and special events.

  • Handles meeting and conference logistics.

  • May coordinate domestic or foreign travel arrangements.

  • With minimal supervision, coordinates office operations.

  • Identifies and pursues ways to improve the efficiency and effectiveness of administrative procedures used by faculty and staff.

  • Oversees office operations and ensures office activities comply with policies and procedures.

  • Participates in the resolution of operating problems.

  • May assist with provider scheduling (i.e. Qgenda).

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program and two years of related experience, or an equivalent combination of education, training and experience.

PREFERRED QUALIFICATIONS:

  • Experience with MSOffice (Excel, Word, Outlook)

  • Experience with Qgenda and EPIC is a plus.

  • Experience in a collegiate-level academic environment is highly preferred.

  • The ideal candidate will have worked with Physician leadership previously.

  • Bachelor’s Degree

NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
