JOB DESCRIPTION:

  • Primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement. Conducts research and gathers information to develop various publications.

  • Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.

  • Assists in developing and coordinating program-related conferences, conventions, or meetings.

  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.

  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.

  • Prepares operational and statistical reports.

  • Conducts training, represents the program at meetings and conferences, and networks with affiliated groups.

  • May supervise assigned project staff, interns and/or volunteers.

  • Performs related responsibilities as required.

  • This is not an administrative support position.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program and two years of related experience, or an equivalent combination of education, training and experience.

Additional Details

This position supports the Robert T. Jones Program, a University program celebrating the legacy of world-renowned golfer Robert “Bobby” T. Jones, Jr. (29L). Mr. Jones was an extraordinary man of compassion and integrity who valued education as much as he loved golf. An alumnus of Emory University School of Law, Georgia Institute of Technology, and Harvard University, he created a legacy of academic excellence and leadership. The Emory Libraries house Jones’ papers—making Emory the center of Jones scholarship and research—and the Jones Program at Emory comprises three signature divisions honoring his legacy: The Jones Program in Ethics, the Jones Biomedical Engineering Fellows, and the Bobby Jones Scholars and Fellows. The Program Coordinator will report to the Director the Bobby Jones Scholarship Program (housed in Emory College) and work with staff in the Laney Graduate School to support the program.

The Bobby Jones Scholars and Fellows program is an exchange program between Emory University and St Andrews University, involving four scholars and one fellow from each institution each year. The Scholars receive travel funding for travel across the United States in addition to their educational expenses. Fellows from St Andrews spend two years in graduate programs at Emory. The Program Coordinator is responsible for working with these Scholars and Fellows, and communicating with the 300+ alumni and donors to the scholarship program. The Program Coordinator organizes all aspects of the exchange: travel (including visa applications), housing, course registration at Emory, tax filing, car rental, and assistance for the students when emergencies occur. The Program Coordinator is involved in planning and executing the selection process for the Scholars and Fellow. Individuals who are well-organized, and who enjoy working with students will be strong candidates.

The Program Coordinator is responsible for developing communications to alumni and donors about all aspects of the Bobby Jones Program and needs excellent communications skills, across a wide variety of mediums. This includes developing and maintaining the website, social media posts, newsletters and listservs related to the program. The Program is hoping to better utilize the collected materials from the Bobby Jones Collection in the Rose Library for these communications. The Program Coordinator will be responsible for developing a new on-line application for the Scholarship and Fellowship in the coming, and will need to be proficient in learning new software tools for this purpose.

The Bobby Jones Advisory Committee includes donors, alumni and University staff. It meets regularly to oversee the program and to select the Scholars and Fellow going to St Andrews University. Committee members also host social events for the Scholars and Fellows. The Program Coordinator helps support and organize the twice-yearly Advisory Committee meetings, works with the Chair of the Advisory Committee, and supports the work of committee members and subcommittees. Applicants with strong interpersonal skills and an interest in engaging with students, alumni and donors are desired.

The Program Coordinator also assists in planning and executing public events for the Bobby Jones program, including the yearly golf tournament, various receptions and dinners for alumni and donors, and serving as liaison with various community partners to the program. In addition to these enumerated responsibilities, the Program Coordinator performs related responsibilities as needed.

Though the work involves regular work hours Monday through Friday, there are some evening and weekend events periodically throughout the year.
