This position is part-time, term-limited Program Assistant (1 year with potential for extension and/or conversion to full-time contingent on funding)

The Task Force for Global Health is an Emory University affiliate located in Decatur, GA. Its programs focus on building durable public health systems that serve all people. Focus areas include neglected tropical diseases, vaccines, and health systems strengthening. The Task Force received the 2016 Conrad N. Hilton Humanitarian Prize–the world's largest award of its kind–in recognition of its extraordinary contributions to alleviating human suffering.

The principal mission of the TEPHINET is to strengthen international public health capacity through initiating, supporting, and networking of field-based training programs that enhance competencies in applied epidemiology and public health practice. In addition to this mission, TEPHINET provides administrative and management support to many international public health projects, some of which are related to the field epidemiology training programs.

KEY RESPONSIBILITIES:

  • Provides administrative and logistical support for projects, initiatives, and programs within an NGO environment.

  • Assists assigned managers and team members by maintaining calendars, receiving and composing communications as correspondence, and replies to inquiries.

  • Handles preparations, scheduling, logistics, and other various requirements for domestic and international travel.

  • Drafts contracts, budgets, and donor reports with direction from manager. Processes financial documents including contracts, expense reports, invoices, etc.

  • Writes routine reports and correspondence, and assists with the development of project/program materials.

  • Organizes meetings and events.

  • Works with and maintains data management and filing for projects/program.

  • Serves as an administrator of work product with other programs/departments, i.e. finance, program development, public information, etc.

  • Liaises and communicates with project consultants and field office staff, providing logistical and administrative support, as directed.

  • Conducts research and provides support to one or more staff members in regards to project and programmatic efforts.

  • May supervise work study students and volunteers.

  • Performs other related duties as required.

Logistical support for TEPHINET domestic and international meetings, conferences and events, including, but not limited to:

  • Booking travel, transportation and lodging arrangements for staff and participants

  • Processing staff travel authorization requests and travel expense reports using established systems and processes

  • Supporting staff during coordination with venues on catering arrangements and configuring meeting spaces

  • Supporting proof-reading, formatting, and dissemination of conference or meeting materials

  • Providing logistics support through the event management platforms.

Administrative support to TEPHINET office operations including, but not limited to:

  • Supporting payments to contractors and vendors by compiling, reviewing and reconciling receipts and supporting documentation for invoices

  • Reviewing incoming emails and voicemails and responding accordingly

  • Ordering supplies and equipment for staff, consultants and contractors

  • Updating and monitoring supplies budgets using an established template in collaboration with TEPHINET Associate Director of Finance

  • Supporting on-boarding process for new employees

  • Scheduling and organizing TEPHINET meetings and taking/recording minutes

  • Ensuring organization of select electronic files, shared drives and folders for staff

Other Responsibilities:

  • Participates fully as a member of the Task Force for Global Health by contributing, assisting and participating in projects, activities, and initiatives as requested by management.

Travel:

  • Less than 10% domestic and/or international travel

MINIMUM QUALIFICATIONS:

  • A high school diploma or equivalent AND five years of administrative experience, OR a bachelor's degree.

  • Proficiency with various personal computer software applications.

PREFERRED QUALIFICATIONS:

  • Proficient in Spanish.

  • Prior experience working in an international organization.

  • Prior domestic and international meeting logistics experience.

  • Experience with domestic and international donor funded projects.

  • Demonstrated ability to work effectively both independently and as part of a team.

  • Demonstrated ability to manage time and prioritize tasks to ensure completion by deadlines.

  • Able to follow established business processes to ensure efficient completion of work.

  • Familiarity or proficiency with Smartsheet or other Project Management software.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
