Description

The Senior Facilities Coordinator - Operations provides assistance to the facility management team to ensure successful service delivery of the client facility needs. As a member of Oxford College’s administrative team will directly support the campus services facility management team with on-going facility and team related responsibilities.

  • Provides support to Director of Facilities Planning and Operations through a project, operations and process improvement focus.

  • Assist with both capital and non-capital projects from planning phase thorough turnover.

  • Serves as the liaison to Campus Services for projects managed through their office to make certain the project remains within budget and the agreed timeline.

  • Strategizes with Campus Services to plan and execute preventative & deferred maintenance and other facility related projects with minimum impact to Oxford College faculty and staff.

  • Campus Services accountable for completing all monthly and annual facilities maintenance programs within accordance of established University policy.

  • Conducts daily walk through of facilities to ensure proper operations and quality assurance.

  • Provides immediate response in the case emergency facility failure to mitigate any impact to occupants & their research.

  • Supports the Planning Team in space requests from departments, develops recommendations and presents to leadership for approval.

  • Validates departmental planning and design requests to ensure they meet Oxford College/Emory University standards & policies and ensures they are feasible options.

  • Assists the Director with developing a projected 3-year operation plan that is in alignment with the financial resource model set by the CBO.

  • Directs and manages the processes and projects to ensure an accurate representation of Oxford College within the existing building monitoring system databases through.

  • Provide written weekly reports, in addition to daily communication, that summarizes observations and discussion from daily walks.

  • Develops and maintains the general space and building description database.

  • Exhibits strong influencing skills when communicating with leadership, faculty and staff.

  • Develops strong and professional relationships with Oxford College partners, especially University support units like Campus Services.

  • Manages the departmental owner’s expectations through professional and effective communication

  • Acts as a liaison between University Campus Services and Oxford

  • College faculty and staff on campus.

  • Provides all necessary communications with respect to facilities and building notifications in a clear and concise manner.

  • Provides continuous improvement on Oxford College space management program, including policies and standard operating procedures.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree

  • Three years experience in construction, engineering, architecture and/or coordinating large projects or events, OR an equivalent combination of experience, education and training.

PREFERRED QUALIFICATIONS:

  • A bachelor's degree in facilities management, engineering, architecture, business administration or a related field.

  • Seven years of experience in facilities management which includes supervisory and budget management experience, OR an equivalent combination of education, training, and experience.

  • A thorough knowledge of work order systems, work control methods, and various building system components.

  • The ability to read blueprints.

  • Thorough knowledge of various computer software applications, input and extraction of data, use of spreadsheet and report writing programs, which includes the ability to produce key performance indicator (KPI) and status reports.

  • Must be able to analyze trends, evaluate and interpret results, and prepare reasonable solutions to modify current processes or make recommended changes across all business lines within Facilities Management.

  • Capable of articulating thoughts and ideas persuasively and preparing clear and professional oral presentations, written reports and briefings.

  • Positions within this classification may require a valid Georgia driver's license and an insurable driving record.
