The Sr. Manager, Events and Conferences will lead and oversee the daily operations of the Oxford College Events & Conferences department. This encompasses development and execution of appealing, original, outstanding, cost-effective and forward-thinking meetings, conferences, special events and programs.

FORMAL JOB DESCRIPTION:

  • Leads and manages the Oxford College events team and works collaboratively with the Dean's Office, the Community Relations Director, Dining Services, Advancement & Alumni Engagement, and the various department event coordinators on campus to ensure the successful execution of meetings and events at Oxford.

  • Leads and oversees the daily operations of the Oxford College Events & Conferences department.

  • Develops new meetings, conferences, special events, and programs while enhancing delivery and execution of existing programs.

  • Establishes broader goals and objectives within Auxiliary Services.

  • Uses best practice methodologies for all areas for which they are responsible, including event risk assessment.

  • Fosters community and collaboration through engaging, thoughtful college-wide events and programming.

  • Provides the seamless coordination of resources and services offered at Oxford College.

  • Works with Oxford College leaders in the strategy, planning for the development, and execution of high-level and engaging academically-focused events and programs that are aligned with the strategic goals of Oxford College and those of Emory University.

  • Creates and administers College guidelines and standards for welcoming important guests and presenting events to audiences and constituencies.

  • Performs other duties as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree and

  • Four years of related experience, OR an equivalent combination of education, training, and experience.

ADDITIONAL JOB DESCRIPTION DETAILS:

  • Reports to the Director of Auxiliary Services, Parking, & Transportation and falls under the Division of Finance and Administration.

  • Is a senior position within Auxiliary Services and is expected to play a key role in the establishment of broader goals and objectives, to be skilled in best practice methodologies for all areas for which they are responsible, including assessing any risks associated with events and the activities associated with these events.

  • Is directly accountable for all aspects of the quality of experience of campus-wide events, meetings, camps and conferences held at Oxford College.

  • Shall foster community and collaboration through engaging, thoughtful college-wide events and programming that reflect and define our campus culture and by providing the seamless coordination of resources and services offered at Oxford College.

  • Will work with the Dean of Oxford College in the strategy, planning for the development, and execution of high-level and engaging academically-focused events and programs that are aligned with the strategic goals of Oxford College and those of Emory University.

  • Establish and administer College protocols by providing guidelines and standards for welcoming important guests and presenting events to audiences and constituencies of all kinds; and, to support the successful execution of campus-wide events, camps, conferences, and special events by setting, communicating and maintaining timelines and priorities on every project.

  • Will ensure proper protocol and practices are followed for the safety and success of all events, both internal and external.

  • Ensures that the College is represented in a professional manner to all internal and external clients at all times.

  • Leads and manages the Oxford College events team and works collaboratively with the Dean’s Office, the Community Relations Director, Dining Services, Advancement & Alumni Engagement, and the various department event coordinators on campus to ensure the successful execution of meetings and events at Oxford College.

  • This role is highly collaborative and requires working with internal and external clients for successful outcomes.Will ensure the establishment and execution of competitive service standards and provide assessment of departmental practices. This also involves the management and purposeful engagement of internal and external contracted suppliers to make changes necessary to meet evolving demands.

  • Will report on feedback via an established assessment model that informs budgeting and planning processes

  • Is the primary point of contact for selling, scheduling, billing and collection for services provided in support of special events or conferences taking place at Oxford College.

  • Expected to seek out opportunity to develop, engage, manage and leverage external relationships and partnerships in the marketplace and in the industry to advance the reputation, standards and operations of meetings, events and conferences at Oxford College and to maximize revenues for the unit.

  • Diplomacy, tact, discretion, conflict resolution, and the ability to manage expectations and key deadlines are essential.
